1. About us
Gentle Breeze Sound (“we”, “us”, “our”) is a boutique tour operator designing tailor‑made travel. Company No.: 72762437. Registered address: Studio 10v Wright Vista, Chloetown NR31 8NS, GB. Phone: +44 3971 271233. Email: [email protected].
2. Your contract with us
A binding contract forms when we confirm your booking in writing and receive the required deposit or payment. The lead traveler accepts these Terms on behalf of all travelers in the booking and is responsible for accuracy of information and for all payments.
3. Pricing, quotes, and inclusions
- Quotes are in the currency stated and are based on the inclusions shown in your itinerary (e.g., room category, board basis, transfers, guide days, tickets).
- Prices may change before booking confirmation due to availability, supplier updates, taxes, or exchange rates. After confirmation, price changes are rare and only occur for material tax or regulatory changes, or obvious errors.
- Exclusions (e.g., flights not listed, visas, travel insurance, some meals, tips) are your responsibility unless explicitly included.
4. Payments and deposits
- Deposits are typically required to secure services; the amount and schedule will be stated in your proposal.
- Balance is due by the date shown on your invoice. Late payment may result in cancellation with applicable charges.
- Bank fees and currency costs are borne by the payer. For card payments, processing is handled by compliant third‑party processors.
- Please contact us before initiating any chargeback. We will investigate and resolve in good faith.
5. Changes requested by you
We will accommodate reasonable amendments where possible. An amendment fee may apply plus any supplier charges. Significant changes may be treated as a cancellation and rebooking under section 6.
6. Cancellation by you
If you need to cancel, the lead traveler must notify us in writing. Unless your itinerary states different terms, the following schedule applies (percentages of total trip price):
- 61+ days before start: loss of deposit and any non‑refundable items
- 31–60 days: 50%
- 15–30 days: 75%
- 0–14 days or no‑show: 100%
Non‑refundable items (e.g., certain tickets, permits, special event reservations) may be payable in full at any time once purchased. Refunds are to the original payer and method when feasible.
7. Cancellation or significant changes by us
If we need to cancel or materially alter confirmed services (and it is not due to your breach or a Force Majeure event), we will offer a suitable alternative or a refund of affected components. Our liability is limited to amounts paid to us for the affected services; we are not responsible for additional costs you incur independently (e.g., separate flights) unless agreed in writing.
8. Force Majeure
We are not liable for delays, changes, or cancellations caused by events beyond our reasonable control, including but not limited to acts of God, pandemics, government action, strikes, severe weather, or security incidents. Where possible, we will assist with re‑arrangements and may offer credits or partial refunds less unrecoverable supplier costs.
9. Travel documents, health, and conduct
- You are responsible for valid passports, visas, vaccinations, and meeting entry requirements. We can provide general guidance but cannot guarantee entry decisions.
- Inform us of any medical or accessibility needs prior to booking so we can advise suitability and arrange support where possible.
- We may decline or remove any traveler whose behavior endangers others, causes damage, or seriously disrupts the trip. Related costs are the traveler’s responsibility.
10. Insurance
Comprehensive travel insurance is strongly recommended and may be required by some suppliers. Your policy should cover trip cancellation, medical care, evacuation, personal property, and relevant activities. We are not liable for losses that a reasonable insurance policy would cover.
11. Suppliers and standards
We design and coordinate services delivered by independent suppliers (hotels, transport, guides, experience providers). We vet partners carefully, but each supplier operates under its own terms. We are not liable for acts/omissions of independent suppliers except where required by law.
12. Limitation of liability
To the fullest extent permitted by law, our total aggregate liability arising out of or in connection with your booking shall not exceed the total amount paid to us for the relevant services. We are not liable for indirect or consequential losses (e.g., loss of enjoyment, loss of time), or for matters beyond our reasonable control.
13. Complaints and support
If something goes wrong, contact us promptly so we can help: +44 3971 271233 (24/7 for in‑trip emergencies) or [email protected]. If unresolved, please submit a written summary within 30 days of return so we can investigate with suppliers.
14. Data protection
We process personal data per our Privacy Policy, which forms part of these Terms.
15. Intellectual property and website use
All content on our site (text, design, images where owned by us) is protected by intellectual property laws. You may not copy, distribute, or use it for commercial purposes without prior written consent. Unauthorized use of automated scraping or data extraction is prohibited.
16. Governing law
These Terms and any disputes arising from your booking are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction, without prejudice to mandatory consumer protection laws that may apply in your country of residence.
17. General
- Severability: if any provision is invalid, the remainder remains in effect.
- No waiver: failure to enforce a provision is not a waiver.
- Assignment: you may not assign your booking without our consent.
- Entire agreement: your confirmed itinerary, invoice, and these Terms form the entire agreement.
